Refund Policy

1. Platform Credit Policy (Non-Extractive Refunds)
CollabScan operates under a Platform Credit model to protect the financial liquidity of active campaigns. Any reference to a “refund” within this policy, the Terms of Use, or across the Platform strictly designates an allocation of financial credits back to the user’s Internal Platform Balance (“Wallet”) in USD equivalent.
Refunds are fundamentally non-extractive. Approved adjustments or contract cancellations do not trigger automated reversals back to the original external payment source (such as credit cards via Stripe or external Web3 wallets). This architecture ensures that capital remains secured within the platform ecosystem for immediate reallocation to alternative campaigns.
2. Pre-Fulfillment Cancellation & Project Abandonment
If a Brand funds a Direct Contract but cancels the request before it is formally accepted by the designated Creator, 100% of the nominal escrowed value is instantly unlocked and credited back to the Brand’s Internal Platform Balance.
Once a Creator formally accepts the contract and transitions the order into an active production stage, the escrowed budget becomes locked and un-recallable by the Brand. This mechanism prevents unilateral project abandonment after the Creator has dedicated time, production value, or scheduling assets to the campaign.
Direct cash-outs or extractive reversals of deposited funds back to external bank accounts are disabled by default. Outbound transfers of unspent deposits may only be reviewed under exceptional administrative circumstances by Plotnikov LLC, subject to a deduction of payment gateway operational costs.
3. Automated Scan Failures & Dispute Resolution
The Platform relies on its automated Daily Uptime Scan engine to govern contract execution. If the engine flags a clear violation—such as early deletion of the promotional material, removal of tracking URLs, missing UTM parameters, or unapproved alterations to the text/media—the escrow funds are instantly frozen and the contract transitions into an Internal Dispute state.
Escrow reallocations resulting from disputes are evaluated strictly on automated system logs, web-parsing history, and metadata from the internal contract chat. Depending on the gravity and timing of the violation, our mediation team retains final authority to issue a full credit refund to the Brand’s Wallet, execute a partial split, or force a final payout to the Creator.
4. Non-Refundability of Platform Fees
The 7% Platform Split-Fee charged to the Brand at checkout is strictly non-refundable once a transaction has been successfully processed by Stripe or confirmed on the blockchain network.
Because CollabScan fully absorbs all underlying external payment gateway fees, credit card processing costs, and blockchain gas infrastructure fees out of its own margin, the 7% fee represents the final operational cost of executing financial routing and hosting the automated escrow infrastructure, independent of individual campaign fulfillment outcomes.
5. Technical Errata & Overpayments
In the event of a platform system error, duplicate billing via Stripe, or network-level overpayment on blockchain rails, the affected user must notify [email protected] within thirty (30) days of the transaction date.
Verified technical overpayments or clerical system errors will be thoroughly corrected and adjusted by the Company back to the user’s original payment method or internal balance without any additional administrative penalties.
6. Strict Chargeback Protection Policy
Initiating an unauthorized or fraudulent bank chargeback via Stripe for funds actively held within a contract escrow or credited to an Internal Balance constitutes a material breach of these terms.
Plotnikov LLC reserves the right to immediately and permanently suspend any account associated with a chargeback dispute. We will aggressively contest chargebacks by providing the processing bank and credit card networks with comprehensive transaction trails, system logs from the Daily Uptime Scan, internal chat transcripts, and cryptographically verified contract agreements.
7. Initiating a Claim
To inquire about a pending escrow adjustment or to report a Creator contract failure that bypassed automated flags, you must submit an operational ticket directly to [email protected].
All inquiries must explicitly include the unique Contract/Order ID, registered user credentials, transaction hashes or Stripe receipts, and clear documentation of the operational breach.
